Office Administrator
Obra Capital is looking for an Office Administrator to join our team in New York (Midtown). The Office Administrator will oversee day-to-day office operations, reception, and administrative services. This role is critical in fostering a productive, client-focused, and collaborative environment. The ideal candidate is highly organized, proactive, and adaptable, with the ability to manage multiple priorities while providing outstanding support to employees, leadership, and guests. This position is full-time on-site in our New York office.
BELOW ARE A LIST OF RESPONSIBILITIES AND QUALIFICATIONS:
Responsibilities
Manage daily office operations, ensuring effectiveness, efficiency, and safety.
Greet clients, investors, and employees with professionalism and warmth.
Provide front desk coverage; manage phones, emails, and inquiries.
Coordinate meetings, conference room setups, catering, and A/V support.
Handle mail, shipping/receiving, and courier services.
Maintain office supplies and manage inventory, budgets, and vendor invoices.
Serve as point of contact with building management, vendors, and facilities.
Partner with facilities to ensure office appearance, functionality, and safety.
Assist in planning and executing onsite meetings and events.
Prepare workstations, security access, and supplies for new hires.
Conduct office tours, manage ID activation/deactivation, and assist with I-9s.
Support capturing headshots and onboarding documentation.
Provide ad hoc support to senior leadership when needed.
Maintain seating charts, floorplans, and space allocation.
Coordinate large-scale office adjustments and seating moves.
Ensure optimal space use to promote collaboration and productivity.
Draft and edit correspondence, reports, and presentations.
Coordinate travel arrangements and scheduling as needed.
Uphold confidentiality and demonstrate sound judgment in all matters.
Assist with special projects and firmwide initiatives as assigned.
Qualifications:•
1+ years of office administration, receptionist, or operations experience, preferably in financial services.
Bachelor’s degree preferred.
Strong organizational, multitasking, and project management skills.
Excellent verbal and written communication skills.
High level of professionalism, discretion, and reliability.
Proficiency with Microsoft Office Suite.
Ability to work independently with a proactive, service-oriented approach.
The expected base salary range for this role is outlined below. In addition to the base salary, total compensation may include a discretionary bonus based on performance. This range reflects a variety of factors, including years of relevant experience, education, and other qualifications pertinent to the position.
$65,000-$75,000
